Xero vs QuickBooks vs FreeAgent: Choosing Bookkeeping Software for a UK Small Business in 2026
With Making Tax Digital expanding, your bookkeeping software is now a compliance decision. A practical comparison of Xero, QuickBooks and FreeAgent for UK sole traders, contractors and growing limited companies.
Choosing bookkeeping software used to be a preference. With Making Tax Digital extending into Income Tax, it is now a compliance decision — and the wrong choice is expensive to unwind two years later.
We work daily in all three of the main UK platforms. Here is an honest comparison.
What actually matters when choosing
Feature lists are mostly noise. Five things determine whether the software works for you:
- Bank feeds that reliably connect to your bank. Every broken feed is manual data entry.
- MTD-compatible submissions for VAT and, increasingly, Income Tax.
- Whether your accountant works in it daily. Support quality depends far more on this than on the vendor.
- The specific workflow you actually do — CIS, multi-currency, stock, projects, recurring invoices.
- Total cost including add-ons. Receipt capture, payroll and expense tools are often priced separately.
FreeAgent
Best for: sole traders, contractors and single-director limited companies.
FreeAgent is built around the UK owner-managed business. It handles Self Assessment and Corporation Tax estimates natively, shows an ongoing tax timeline, and produces a director's Self Assessment return from the same data. The interface assumes UK terminology throughout.
- Strong: tax forecasting, Self Assessment, simple project time tracking, clear pricing
- Weaker: inventory, complex multi-entity groups, deep reporting
- Notable: it is free with certain UK business bank accounts, which makes it very hard to beat on cost for a single-director company
Xero
Best for: growing limited companies, businesses with employees, anyone needing an app ecosystem.
Xero is the strongest general-purpose platform in the UK market. Bank reconciliation is fast, the reporting layer is genuinely good, and the app marketplace covers almost every niche — stock, job costing, debtor chasing, industry-specific tools.
- Strong: reconciliation workflow, reporting, integrations, multi-user permissions, payroll add-on
- Weaker: costs rise as you add apps; the cheapest tiers cap transactions
- Notable: most UK accountants are Xero-fluent, which matters more than any feature
QuickBooks
Best for: sole traders wanting an inexpensive start, and businesses with heavy invoicing volumes.
QuickBooks competes aggressively on price and is often the cheapest entry point, with a solid mobile app and strong invoicing. Its Self Assessment-focused tiers are well suited to landlords and sole traders preparing for MTD for Income Tax.
- Strong: price, mobile experience, invoicing, sole trader and landlord tiers
- Weaker: reporting flexibility compared with Xero; some UK-specific workflows feel adapted rather than native
- Notable: heavy promotional discounting means the renewal price is often very different from the sign-up price — check year two
A quick decision guide
| Your situation | Usually the best fit |
|---|---|
| Sole trader, few transactions, preparing for MTD for Income Tax | QuickBooks or FreeAgent |
| Single-director limited company | FreeAgent (often free with the right bank account) |
| Limited company with employees and growth plans | Xero |
| Stock, projects or industry-specific workflows | Xero plus the relevant app |
| Contractor inside a simple structure | FreeAgent |
Mistakes we see repeatedly
- Choosing on price alone. The software is rarely the cost — the bookkeeping time around it is.
- Migrating mid-year without a clean cut-off. Move at a year-end or at least a VAT quarter end, with reconciled opening balances.
- Turning on bank feeds and assuming the job is done. A feed imports transactions; someone still has to categorise them correctly, and miscategorised costs quietly distort your margins and your tax.
- Not using receipt capture. Photographing receipts at the point of spend is the single highest-return habit in small business bookkeeping.
What Making Tax Digital changes
MTD for Income Tax requires digital record keeping and quarterly updates for qualifying sole traders and landlords, phased in by income level. Spreadsheets are still permitted with bridging software, but the practical answer for most businesses is a compatible platform with the submissions built in. All three products above are on HMRC's compatible software list — the question is which one fits how you work.
The bottom line
There is no universally best option. FreeAgent wins on UK owner-managed simplicity and cost, Xero on capability and ecosystem, QuickBooks on entry price and sole trader workflows. Pick the one your accountant works in daily, migrate at a clean cut-off, and spend the saved time reviewing your numbers rather than typing them.
If you would like help choosing or migrating, we are certified across Xero, QuickBooks and FreeAgent and can move you across with reconciled opening balances.
